Short answer
If you run a BV in the Netherlands you must file annual accounts with KVK every year, within 12 months after the end of the financial year. A sole trader (eenmanszaak) does not file. The documents are prepared in Dutch. You can have them prepared for you, or prepare them yourself and pay for the download only.
Who files
Who has to file, and when
The requirement depends on your legal form, and the deadline follows Dutch law.
If you run a BV (private limited company), you file annual accounts every financial year. If you are a sole trader (eenmanszaak) you do not file annual accounts with KVK at all — you keep records and file your income tax return. A VOF files only in specific situations, for example when all managing partners are foreign companies.
The deadline follows Dutch law: at the latest 12 months after the end of the financial year, and within 8 days after the shareholders adopt the accounts. If adoption is delayed, you file the prepared but not yet adopted version, and replace it once the accounts are adopted. KVK does not grant extensions on the filing itself.

What you get
Four PDFs, ready to file
You download your documents without a watermark. Amounts are in whole euros and the pages are A4 — exactly as KVK expects them.
The annual accounts
Company details, balance sheet, profit and loss account, key figures, working capital, accounting policies, notes, profit appropriation and signing. Each chapter on its own page.
The KVK publication document
The filing details with the balance sheet and the notes, without the profit and loss account — the format KVK requires for micro and small legal entities.
The signing page
With the board statement and space for the signature of each director.
The management report
A brief report on the financial year: activities, result, financial position, events after the balance sheet date and the outlook for the coming year.
What KVK expects
What KVK expects, and what you need to gather
The filing consists of the balance sheet, the profit and loss account (for medium and large companies), the notes and the board’s signing statement.
Micro and small companies may leave out the profit and loss account and the management report from the public filing. What you need before you can prepare any of it:
- A closed bookkeeping year: all transactions processed and the bank reconciled.
- The trial balance and the balance of the financial year.
- A schedule of your fixed assets and the depreciation for the year.
- Listings of debtors and creditors, including anything you may not receive.
- The shareholder or partner resolutions, if the year included any.
The documents themselves are prepared in Dutch. Dutch legal entities prepare their annual accounts in Dutch unless the articles of association or the shareholders allow another language; for the filing, KVK’s requirements apply. KVK’s English filing pages explain what you file and how.
The annual accounts are prepared in Dutch because that is what KVK and the tax authorities expect. The wizard and the documents follow that same route.

BV (private limited company)
Filing required
Filing is required. The tool calculates the corporate income tax and delivers the publication documents you file with KVK.

Comparison
Do it yourself, outsource it, or use accounting software?
All three are a good choice — for different people. Below is an honest overview of what each costs and what it asks of you.
| ZelfJaarrekening.nl | An accountant | Accounting software | |
|---|---|---|---|
| What you pay | € 49.95 excl. VAT per financial year, once. No subscription. | An hourly rate or a fixed amount per year; that depends heavily on your bookkeeping. Always ask for a quote. | Usually a monthly subscription, including the months in which you do nothing. |
| Who does the work | You, step by step through the wizard. The calculations and the texts come from the tool. | The bookkeeper or accountant. You supply your records. | You. You keep your own bookkeeping and usually prepare the annual accounts yourself. |
| What it asks of you | Closed bookkeeping and a few hours of entering data. You need your figures. | Little: you supply and check. You are dependent on their schedule, though. | That you keep your bookkeeping up to date in that package all year. |
| Statement with the documents | None. You remain responsible for accuracy — that is also stated in the disclaimer. | Can issue a compilation, review or audit statement if that is needed. | None. Just as with us, the documents come out without a statement. |
| Tax returns | Not included. You do get the taxable profit calculation and the corporate income tax in the documents. | Usually yes, including the returns and contact with the tax authorities. | Sometimes, usually as a separate module or service. |
| Checking your figures | Per field, plus the balance sheet check to the cent and warnings for illogical figures. | A human looks over your shoulder and knows the rules; they also see things software does not. | Mainly input checks: whether an amount is readable, not whether it is logical. |
| How fast | Immediately. You can start tonight and download the documents the same day. | In the busy months (March to June) it can take a while before it is your turn. | Immediately, but you first need your entire bookkeeping in order. |
| When this is the wrong choice | If you need a statement, if your bookkeeping is not in order, or if you would rather be fully taken care of. | If your bookkeeping is simple and you want to be able to do it yourself without annual costs. | If you only need annual accounts and do not plan to keep your bookkeeping in that package. |
What an accountant charges depends on your bookkeeping and the region; prices of accounting software differ per package and per module. That is why there are no amounts for others here — ask them for a quote so you compare like with like. Our price is fixed: one amount per financial year, and you see it before you pay.

Frequently asked questions
Answers to the most common questions
Do I need to speak Dutch to use this?
The annual accounts themselves have to be in Dutch, and the wizard is in Dutch because the documents are. If you need help understanding a step, email us and we will explain it in English. If you would rather not deal with any of it, the administrative office we work with handles the whole filing for you.
Can I file my annual accounts in English?
In principle the annual accounts of a Dutch legal entity are prepared in Dutch. The articles of association or the shareholders can allow another language, but for filing with KVK its requirements apply. The documents you file are therefore in Dutch.
When must the annual accounts be filed?
Within 12 months after the end of the financial year at the latest, and within 8 days after the shareholders adopt the accounts. If the accounts are not adopted in time, you file the prepared, not yet adopted version. KVK publishes the rules on its English filing pages.
Is there a Dutch annual accounts filing service that handles it for me?
Yes. Woodlands Administration, the administrative office behind this website, prepares and files the annual accounts for you. They work in English and Dutch, they know what KVK expects, and they take the deadline off your hands. Email info@woodlandsadmin.com with the financial year and whether your bookkeeping is up to date.
Do I need an accountant?
For a small or micro company, no. You may prepare and file the annual accounts yourself. An accountant is required for an audit (controleverklaring) when your company is large, and many entrepreneurs choose one anyway for the certainty or because they would rather not do it themselves.
